Hi Shilpa! Can you describe your role as a member of the Tria proposal team?
Hello! My name is Shilpa Deshpande. As a Solutions Architect at Tria Federal, I develop technical solutions that align with Federal RFP and RFI requirements. Collaborating closely with our proposal team, I craft compelling narratives that showcase Tria's capabilities, ensuring our proposals are both technically robust and customer-focused. This involves synthesizing complex information, coordinating with subject matter experts, and maintaining compliance with proposal guidelines.
What are the most challenging aspects of your role?
Balancing the creation of technically sound solutions with the need for persuasive, customer-centric narratives under tight deadlines is a significant challenge. The Federal procurement process is rigorous, requiring meticulous attention to detail, coordination among multiple stakeholders, and adaptability to evolving client needs. Ensuring accuracy, compliance, and clarity throughout this process demands constant diligence.
Why did you adopt AI technology for responding to RFPs?
We wanted a tool that could automate drafting, ensure consistency, and minimize errors in the RFP response process thereby reducing the time taken to produce a draft compliant response document. By leveraging AI, we aimed to quickly generate high-quality drafts from approved templates and a centralized knowledge library, ensuring responses are accurate, relevant, and aligned with our standards. We also wanted valuable insights to continually refine our responses, making the process more efficient, effective, and scalable. Finally, we also wanted to use AI to help us with quickly finding relevant work from our large past performance library of content which we would have otherwise done with a keyword search.
What's your experience using AI to help draft RFPs?
Our partnership with Ensis AI has been transformative. Initially, I was skeptical about AI's ability to grasp the nuances of Federal proposals. However, Ensis has exceeded expectations by significantly reducing time spent on tasks like initial drafting in our test environment. Its capability to analyze RFP requirements and suggest relevant content has been particularly beneficial in the early stages of proposal development. I have been using Ensis to quickly recall Tria capabilities from our content library, and to draft responses to specific sections. We are preparing to onboard our entire proposal team to start using Ensis for end-to-end proposal management.
What’s the biggest value that Ensis is providing you today?
We’re expecting 60-80% reduction in time to first draft and significant reduction in time spent on overall proposal work. Ensis enhances speed and efficiency in our proposal development. By automating time-consuming tasks, it allows our team to focus on higher-value activities such as refining technical solutions and tailoring proposals to specific client needs. The platform's ability to streamline the proposal process has been instrumental in maintaining our competitiveness in the GovCon market.
How do you think Ensis will change the way you approach proposal development?
Ensis enables a more proactive and strategic approach to proposal development. By providing a solid foundation, we can dedicate more time to understanding client missions and crafting innovative solutions. Without a doubt, the Ensis AI for Microsoft Word. Its ability to recommend tailored content from our resource library directly within Word ensures our responses align with client priorities while maintaining consistency in tone and style. This feature not only saves time but is available where I work in Word.
